Shift Duration: 9–10 hours per day, 5 days per week
Clinic Operation: 7 days a week

About the Role

Mujtaba Clinic NY is looking for two highly skilled Virtual Medical Assistants to support a fast-paced medical office in New York during U.S. business hours. This is a clinical operations support role, not an entry-level administrative position.

Candidates must be confident communicators, technically strong, detail-oriented, and performance-driven. Success in this role is measured by appointment conversions, documentation accuracy, communication quality, and overall reliability.

Key Responsibilities

1. Advanced EMR Experience (Tebra / Kareo Required)

• Advanced hands-on experience with Tebra (formerly Kareo)
• Appointment scheduling and management
• Insurance eligibility verification (primary, secondary, co-pays, deductibles)
• Updating appointment notes, patient alerts, and insurance details
• Reviewing patient histories and documentation
• Accurate, clean, and complete data entry

2. Phone Handling & Appointment Conversion (Core KPI)

• Handle inbound and outbound calls professionally
• Convert calls into confirmed appointments
• Return missed calls within 5–10 minutes
• Clear American-standard English communication
• Empathetic, confident, and accurate call handling
• Follow structured scripts (weight loss, exams, aesthetics, etc.)
• Performance measured by appointments created and kept

3. Spanish Language Requirement (Preferred / Functional)

Spanish fluency is strongly preferred. At minimum, candidates must be able to:

• Use basic Spanish phrases
• Communicate simple information respectfully
• Inform patients when a Spanish speaker will assist
• Send Spanish text messages using translator tools

As the majority of patients are Spanish-speaking, bilingual communication is essential.

4. Billing Communication & Issue Resolution

Candidates must understand U.S. medical billing, including:

• Claims and claim status
• Co-pays, deductibles, and balances
• Insurance errors and denials
• Missing documentation impacting claims
• Communicating billing issues with providers and billing teams
• Escalating billing-related issues accurately and promptly

5. Scribing & AI Tools Experience

Experience with or ability to learn:

• Medical scribing and documentation review
• Ensuring notes meet billing requirements
• AI scribing tools such as:
  • FreedAI
  • DeepScribe
  • Augmedix
  • or similar platforms

Understanding medical terminology is strongly preferred.

6. Administrative Audits (Daily)

• Registration forms
• Insurance uploads
• Co-pay documentation and receipts
• Doctor notes (incomplete/unsigned)
• Weave messages and appointment requests
• Missed call logs
• Fax review and archiving
• Eligibility verification
• Appointment confirmation records

Accuracy and consistency are mandatory.

7. Patient Outreach & Scheduling

• Follow up on overdue annual exams
• Contact cancellations and no-shows
• Support weight loss and IV hydration patients
• Assist with aesthetics and follow-ups
• Respond to texts and Weave requests
• Meet daily productivity and scheduling goals

8. Communication, Documentation & SOP Compliance

• Document all calls, texts, and actions
• Maintain updated appointment notes and alerts
• Follow all clinic SOPs
• Maintain a professional tone and reliability
• Provide end-of-shift reports including:
  • Appointments created
  • Eligibility checks completed
  • Co-pays collected
  • Outstanding issues

Zoom Requirement

Candidates must work entire shifts on Zoom with:

• Camera ON
• Screen Share ON
• (Except during breaks)

This is required for real-time collaboration and oversight.

English Language Requirement

Candidates must demonstrate:

• Clear American-standard English
• Strong listening and speaking skills
• Professional and empathetic communication
• Comfort speaking with U.S.-based patients
