  • Minimum 1 year of remote U.S. medical office experience (required)
  • EMR experience required; Tebra/Kareo preferred
  • Strong, confident American-standard English
  • Ability to handle phones, scheduling, eligibility, billing communication, documentation, and audits
  • Must work full U.S. hours with camera on and screen share on
  • Must meet daily performance metrics consistently
  • Basic Spanish communication required; fluency preferred
  • This is not an entry-level job; no beginner training will be provided

About the Role

Mujtaba Clinic NY is hiring two experienced Virtual Medical Assistants to support a high-volume U.S. medical practice.
This role involves clinical operations, not general administrative work. You must be fast, accurate, organized, and able to handle a heavy workload.

Performance is measured by:

  • Appointments created
  • Appointments that show up
  • Documentation accuracy
  • Phone communication quality
  • Timely eligibility & insurance updates
  • Reliability & attendance

Key Responsibilities

1. Scheduling, Phones & Appointment Conversion

  • Convert inbound/outbound calls into confirmed appointments
  • Return missed calls within 5–10 minutes
  • Follow scripts for weight loss, physicals, aesthetics, and IV hydration
  • Communicate professionally with patients
  • Document all calls, texts, and interactions in EMR
  • Maintain daily appointment creation & conversion targets

2. EMR Work (Advanced Level Required)

  • Preferably Tebra/Kareo; advanced EMR experience mandatory
  • Create/manage appointments
  • Perform eligibility checks (primary/secondary, copays, deductibles, plan details)
  • Update alerts, insurance, notes, and patient forms
  • Attach labs, faxes, documents accurately
  • Review patient history for accuracy

3. Spanish Communication

Since many patients speak Spanish, you must:

  • Use basic Spanish phrases to assist patients
  • Communicate politely until a Spanish-speaking team member joins
  • Send Spanish text messages via translator tools
  • Learn key phrases quickly
  • Full fluency preferred

4. Billing Communication & Issue Management

  • Understand copays, deductibles, balances, coverage
  • Identify missing info causing claim denials
  • Communicate billing issues to office managers/providers
  • Assist patients with billing concerns (within clinic guidelines)
  • Catch eligibility errors or missing documentation

5. Scribing & Documentation

  • Organize notes and ensure billing compliance
  • Assist with scribing tasks
  • Review provider notes for completeness
  • Work with tools like FreedAI, DeepScribe, Augmedix
  • Understand medical terminology

6. Daily Administrative Audits

Daily required audits include:

  • Registration forms
  • Insurance uploads
  • Copay and receipt documentation
  • Doctor notes (started, incomplete, unsigned)
  • Weave messages & appointment requests
  • Missed call logs
  • Fax review and archiving
  • Eligibility checks
  • Appointment confirmations
    Accuracy is critical.

7. Patient Outreach & Scheduling

  • Contact overdue physicals
  • Follow up on cancellations/no-shows
  • Outreach for weight loss, IV hydration, blissMAX, aesthetics
  • Respond promptly to texts and Weave messages
  • Convert all leads into appointments

Zoom Requirement (Strict)

You must work the entire shift with:

  • Camera on
  • Screen share on
  • Clear microphone
  • Professional workspace
    Only breaks are exempt. Non-compliance leads to disqualification.

English Requirement (Strict)

Candidates must demonstrate:

  • Neutral, clear American-standard English
  • Confident phone communication
  • Strong comprehension
  • Professional, polite, and fast communication

Weak English skills will result in automatic rejection.
